Privacy Policy
This policy explains how Coderoffice handles personal information when you visit our website, contact us or use an application or service that we provide.
In short: we collect only information reasonably needed to communicate with you or provide a feature you choose to use. We do not sell personal information. Where an application connects to Google, access is limited to the permissions shown to you during Google authorisation and is used only for the disclosed application feature.
1. Who this policy applies to
This policy applies to Coderoffice, our public website at coderoffice.com.au, and Coderoffice applications, prototypes or services that link to this policy.
2. Information we may collect
Depending on how you interact with us, we may collect:
- your name, email address, organisation and other contact details you choose to provide;
- the content of project enquiries, support requests or other correspondence;
- basic technical information associated with use of our website or services, such as device, browser, IP address, request logs and security events where these are produced by our hosting or infrastructure providers;
- account information and authorised third-party service data when you intentionally connect an application to a third-party account; and
- other information you deliberately provide to a Coderoffice application or service.
We do not intentionally collect sensitive information unless it is genuinely required for a feature and you are clearly informed before collection.
3. How we collect information
We primarily collect information directly from you, including when you email us, use a feature, authorise a connected service or otherwise provide information to an application. Some technical information may be generated automatically by hosting, security or infrastructure systems when the website or an application is used.
4. Why we use personal information
We may use personal information to:
- respond to enquiries and communicate about projects or support;
- provide, operate and improve features you choose to use;
- authenticate users and maintain connected-service authorisations;
- protect our website, applications and users from misuse or security threats;
- diagnose technical problems and maintain service reliability; and
- meet legal, regulatory or legitimate business record-keeping requirements.
5. Google user data and connected Google services
Some Coderoffice applications may let you connect a Google account. When this occurs, the application requests only the Google permissions needed for the feature being used. The exact permissions are displayed on Google's authorisation screen before you grant access.
Data that may be accessed
Depending on the application feature and the permissions you approve, this may include basic Google account information and data from a Google service. For example, if an email-assistant feature is enabled, the application may access Gmail message metadata or message content necessary to retrieve, read or summarise email information at your request.
How Google data is used
Google user data is used only to provide or support the user-facing feature for which access was authorised. It is not sold, used for advertising, or used for unrelated profiling. Coderoffice does not use Google Workspace user data to train generalised artificial intelligence or machine-learning models.
Storage and retention
Authentication credentials or OAuth tokens may be stored locally on your device or securely by the relevant application where necessary to maintain the connection. Google message content is not retained beyond what is reasonably needed to perform the requested feature unless the application clearly tells you otherwise and you choose that functionality.
Sharing
We do not disclose Google user data to third parties except where this is necessary to provide a feature you requested, to maintain secure infrastructure, where you direct us to do so, or where disclosure is required by law. Any service provider acting on our behalf is expected to handle data only for the relevant service purpose and subject to appropriate confidentiality and security obligations.
Coderoffice's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
6. Cookies and analytics
Our public website does not rely on advertising cookies for its core operation. If we introduce analytics, measurement or other technologies that materially change how personal information is collected, we will update this policy and provide any notices or choices required for that use.
7. Service providers and overseas processing
We may use reputable technology providers for website hosting, cloud infrastructure, email, security, development tooling or connected-service APIs. Those providers may process data in Australia or other countries depending on their infrastructure and service configuration. Where personal information is disclosed to a provider, we take reasonable steps appropriate to the circumstances to protect it and limit use to the relevant service purpose.
8. Security
We use reasonable technical and organisational safeguards appropriate to the nature of the service and information involved. No online system can be guaranteed to be completely secure, so users should also protect their devices, passwords and connected accounts.
9. Retention and deletion
We keep personal information only for as long as reasonably needed for the purpose for which it was collected, to provide the relevant service, resolve issues, meet legal obligations or maintain necessary business records. When information is no longer required, we may delete or de-identify it where reasonably practicable.
You can revoke a Google connection through your Google Account permissions. You can also contact us to request deletion of personal information or application data we hold about you, subject to any legal or operational requirement that requires limited retention.
10. Access, correction and privacy complaints
You may contact us to ask what personal information we hold about you, request correction of inaccurate information, request deletion where appropriate, or raise a privacy concern. We may need to verify your identity before acting on a request involving personal information.
Please email hello@coderoffice.com.au. We will review the request and respond within a reasonable period.
11. Changes to this policy
We may update this policy when our services, information-handling practices or legal obligations change. The current version will remain available at this page and will show the date of the latest update.
